Overview

WildcatIQ ("we," "us," or "our") operates the website wildcatiq.ai, the web application at app.wildcatiq.ai, and the WildcatIQ mobile app for iOS and Android (collectively, the "Services"). This policy explains how we collect, use, share, and protect information when you use the Services.

By using the Services, you agree to the collection and use of information in accordance with this policy.

Applicability

This policy applies to all WildcatIQ websites, applications, and support interactions. It does not cover third-party services you connect to or reach through the Services, such as Dropbox or our demo scheduling page, which have their own privacy policies.

Information We Collect

Account Information. When you create an account, we collect your name, email address, password (stored in hashed form), phone number, company name and address, and an optional profile photo.

User Information. We collect information about users added to your organization, including names, email addresses, phone numbers, and permissions.

Operational Data. When you use the Services, you enter or upload well, lease, production, equipment, accounting, invoice, and regulatory data, along with documents, photos, notes, comments, and team messages. This can include information about people who are not users, such as employees, contractors, vendors, and royalty and working-interest owners. This data belongs to your company (see Data Ownership).

AI Conversations. When you use Orion, our AI assistant, we store your conversations. Orion also keeps notes about your preferences and working habits, which it updates automatically so it can help you better.

Mobile App Permissions. The mobile app may request access to your camera, photo library, microphone, Face ID or other biometrics, and notifications. These are used to scan documents, attach photos, dictate by voice, unlock the app, and send alerts. You can change any of these in your device settings. Biometric data stays on your device and is never sent to us. The app does not collect your location.

Offline Data on Your Device. So you can work without a connection, the mobile app stores a copy of your organization's data on your device. This copy stays on the device after you sign out. It is removed when a different person signs in on that device, when you are removed from the organization, or when you delete the app.

Usage and Log Data. Our hosting and authentication providers record technical information such as IP addresses, browser type, and access times. We also record IP addresses to prevent abuse of account recovery.

Billing Information. Payments are processed by Stripe. Your card details go directly to Stripe, and we do not store full card numbers.

Cookies. We use cookies only to keep you signed in and to make the Services work, such as remembering preferences and referral links. We do not use analytics or advertising cookies, and we do not use third-party analytics tools.

Communications. We keep records of support conversations and emails between you and us.

Public Data. The Services display publicly available records, such as Texas Railroad Commission operator and well data and county appraisal district mineral rolls, which may include names and mailing addresses.

How We Use Your Information

We use the information we collect to:

AI Features

WildcatIQ includes AI features that send your data to AI providers to process your requests. Orion and document scanning use Anthropic. Text extraction and search use Mistral AI. Image features use Google. Voice features use ElevenLabs. We do not store your voice recordings.

By default, uploaded documents are scanned by AI to suggest records, such as readings or invoices. Nothing is saved until a user approves it. Orion can also read team messages you have access to. Your organization's administrators can turn off document scanning and Orion's access to team messages.

We do not use your data to train AI models.

How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

Within Your Organization. Your organization's administrators control what each user can see and do, including access to operational data, user information, and billing. Facts you ask Orion to remember may be shared with other users in your organization.

Service Providers. We share information with vendors who help us run the Services, including:

These providers may use your information only to provide services to us.

At Your Direction. If you connect Dropbox, send scheduled reports, or export data, information goes where you direct it.

Legal Requirements. We may disclose information if required by law, regulation, legal process, or governmental request.

Business Transfers. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

With Your Consent. We may share information for other purposes with your consent.

Data Ownership

Your company owns its data, not WildcatIQ. Administrators control access to it and can export it from the Services.

If your information was entered by a WildcatIQ customer (for example, you are an employee, vendor, or royalty owner of one of our customers), that customer controls it. Please contact them with any requests about your information.

Data Retention

We keep your data for as long as your account exists. Canceling your subscription ends access but does not delete your data, so you can come back. To have your account or data permanently deleted, contact us.

Some items you delete in the app are hidden rather than erased. You can contact us to have them permanently deleted.

Security

We protect your information with measures including:

The offline data on your mobile device relies on your device's own security, so protect your device with a passcode.

No method of transmission or storage is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security.

Your Rights and Choices

Depending on where you live, you may have the right to:

To exercise these rights, contact us at [email protected] or through your organization's administrator. We will not discriminate against you for exercising your rights.

California and Texas Residents. Residents of California, Texas, and other states with privacy laws have additional rights, including the right to know what personal information we collect and to request its deletion. We do not sell personal information or use it for targeted advertising.

Children's Privacy

The Services are not directed to anyone under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us and we will delete it.

International Data Transfers

The Services are operated in the United States, and your information is stored and processed there. If you use the Services from outside the United States, your information will be transferred to the United States.

Changes to This Policy

We may update this policy from time to time. If we make material changes, we will notify you by email or through the Services before they take effect. Continued use of the Services after changes take effect means you accept the updated policy.
